JobLog24 · a business platform for cleaning companies

Organise the working day. Give people the means to act.

A cleaning company makes commitments about sites, services and prices. Every working day, planners, cleaners and administrators need to put those commitments into practice. For JobLog24, we designed and built the office application, employee app and underlying business logic. People can take care of their own responsibilities while the company keeps track of the service as a whole.

The planner can see which work needs cover

When an employee calls in sick, the planner needs to know which sites are affected and who can take over. In JobLog24, the absence record shows the affected shifts. The planner can assign a replacement, change the time or cancel an individual visit, then check the updated schedule.

The weekly schedule can be viewed by employee or by location. The same information answers two different questions: what does this colleague need to do, and who is coming to this customer's site? A change to one visit remains separate from the recurring agreement. Skipping a cleaning visit, for example, does not automatically change the agreed subscription price.

Customer conversations also stay with the work. From a location, office staff can record a conversation, assign a follow-up task or schedule extra work. The next colleague can find the agreement in the context of the customer and site it concerns.

Recording an absence and arranging cover are two separate steps.

The cleaner has the information and tools to act

On their phone, employees see their assignments, locations, times and work instructions. From a work order, they can record time, pause and resume, report an issue or add a photograph. They can include a handover note when finishing. What the employee encounters on site becomes part of the information the office works with.

When supplies are needed, the employee selects the products and quantities in the app and submits a request for the location. Office staff follow it up and assign delivery. The person delivering the supplies can then confirm it in their own app, with a delivery report. A need identified on site has a clear route through to action.

The mobile application runs in the browser. Employees can start and pause a previously loaded work order without a connection; locally stored changes are sent when connectivity returns. New supply requests and photo uploads require internet access. We make that distinction visible so people understand what has been saved and what still needs a connection.

A need identified on site becomes a supply request the office can act on.

Administration follows the work that was done

Completing a job starts the administrative review. Office staff compare scheduled and recorded time, then approve the hours for payroll processing. Customer billing follows the pricing agreement. Recorded time, approved payroll hours and billable quantities therefore each have a distinct meaning in the platform.

JobLog24 supports three invoicing paths: completed jobs, subscription periods and supplies. Draft invoices retain their connection to the work or period they cover and are grouped by location. Administrators can review the amounts and line items before transferring drafts to Exact, where invoices are finalised and sent.

This allows the office to trace an amount back to its source. Hours approval, invoicing and transfer are separate steps with their own outcomes. The colleague responsible can see what is ready and what still needs attention.

Scheduled time, recorded time and approved payroll hours remain distinct.

IndustrylinQ's responsibility

We translated working agreements and responsibilities into the product and built the Office application, mobile-first PWA, backend and integrations. The underlying data model covers organisations, customers, locations, projects, individual jobs, employees, supplies and financial processing. Access depends on the user's role and active organisation account.

The detail lies in the decisions everyday work requires. A change for one date needs to coexist with a recurring schedule. A supply request needs to stay linked to the correct location and delivery. And an employee completing a job does not take over the office's responsibility for approving hours. We carried those distinctions through the screens, data and business rules.

The applications support Dutch, English and Spanish. Invitations also follow the selected language. That is part of building software people with different backgrounds can use independently.

Relevant beyond cleaning

Maintenance, installation and other service businesses also bring together customer commitments, people, materials and administration. JobLog24 shows how we work across the business while giving each employee practical ways to act.

To work through your operating model and commercial agreements, start with business analysis and process design. Explore mobile applications or system integrations if your requirements are more defined. Schoonmaakwoede shows another side of the same sector: online ordering, pricing, partner scheduling and payment.
